Position: Administrative Assistant
Job Description:
Chatham Literacy’s Administrative Assistant supports the day-to-day operations of the office.
This person is efficient and comfortable being a member of a team. The ability to multi-task,
while maintaining complex schedules, and managing support to coordination staff is essential in
this position. This person is resourceful, a good problem solver and organized. Assuring a
steady completion of workload in a timely manner is key to success in this position.
Reports to the Executive Director
Duties and Responsibilities
- Manage workflow, ensuring that deadlines are met and work is completed correctly.
- Generate memos, emails, and reports when appropriate.
- Provide assistance and support to multiple people in the office.
- Assume responsibility for maintenance of office equipment, including computers and printers.
- Maintain office supplies by checking inventory and ordering items.
- Maintain the office by ensuring professional appearance, getting incoming mail and handling weekly garbage and recycling
- Manage electronic reservation of meeting space in the office and in our virtual classroom.
- Maintain outreach events by scheduling of all events, completing registration, checking inventory and ordering outreach materials, preparing all materials for the event.
- Support large events by submitting media releases, organizing attendees, receiving phone calls, taking registrations over the phone, preparing outreach materials for event day and attending event.
- Process incoming donations by entering donations into donor database, preparing deposit, printing and mailing donor thank you letters.
- Maintain library of educational materials by checking inventory and ordering items.
- Respond to questions and requests for information.
- Answer incoming calls and assume other receptionist duties when needed.
- Maintain all the office filing systems and storage.
- Prepare important letters that are circulated in the office.
- Enter program data from intake forms and tutor reports of volunteers, tutors and adult learners.
- Collect and enter volunteer hours.
- Support assessment process by correcting tests and creating competency forms
- Participate in the onboarding of new employees.
- Guide the work of office-specific volunteers.
Qualifications:
- Bilingual, English/Spanish
- Experience using MS Office (Word, PowerPoint, and Excel) and Google documents.
- Ability to learn how to enter data into an unfamiliar database program.
- Detail-oriented
- Can work independently and as part of a team
- Comfortable working in a fast-paced office environment.
- Exceptional communication skills
- Excellent organization skills
- Dedication to completing projects in a timely manner.
- Employee Pay and Benefits
- $15.00 per hour, 40 hours per week
- Workweek will basically be Monday – Friday 8:30 am – 5:00 pm
- Some evening and weekend hours will be necessary
